This policy applies to all Opika Studios employees, contractors, volunteers, and partners who may come into contact with children or vulnerable adults during our media production activities. All personnel must understand their responsibilities in safeguarding and child protection.
3. Principles

4. Definitions
- Child: Any person under the age of 18.
- Vulnerable Adult: A person aged 18 or over who is, or maybe, in need of community care services because of mental or other disability, age, or illness, and who is, or maybe, unable to take care of themselves or protect themselves against significant harm or exploitation.
5. Roles and Responsibilities
- Designated Safeguarding Officer (DSO): The DSO is responsible for implementing this policy, providing guidance and training, and managing any safeguarding concerns.
- All Employees, Contractors, and Volunteers: Must report any concerns regarding child protection or the welfare of vulnerable adults to the DSO immediately.
6. Safe Recruitment
Opika Studios follows strict recruitment procedures to ensure that all staff and volunteers are suitable to work with children and vulnerable adults. This includes:
- Conducting background checks.
- Obtaining references from previous employers.
- Providing safeguarding training to all new staff and volunteers.
7. Training
All employees, contractors, and volunteers will receive mandatory safeguarding training, which will be refreshed periodically. Training will cover recognizing the signs of abuse, reporting procedures, and the legal framework surrounding safeguarding.
8. Reporting Procedures
- Raising Concerns: Any employee, volunteer, or contractor who suspects that a child or vulnerable adult is being abused, neglected, or exploited should report their concerns immediately to the DSO.
- Action by DSO: The DSO will assess the concern and take appropriate action, which may include reporting the matter to local authorities or law enforcement.
- Whistleblowing: Opika Studios encourages a culture of openness and transparency. Any individual who raises a concern in good faith will be supported and protected from retaliation.
9. Working with Third Parties
When working with partner organizations, NGOs, or contractors, Opika Studios will ensure that these entities adhere to similar safeguarding standards. Contracts will include clauses that outline safeguarding expectations and the requirement to report any concerns immediately.
10. Code of Conduct
All personnel must adhere to Opika Studios’ Code of Conduct, which includes:
- Treating children and vulnerable adults with respect.
- Never engage in any form of inappropriate behaviour, such as physical or verbal abuse, bullying, or sexual exploitation.
- Avoid situations where they are alone with a child or vulnerable adult, where possible.
11. Media Consent
When filming or photographing children or vulnerable adults, Opika Studios will obtain informed consent from parents, guardians, or the individuals themselves where appropriate. We will ensure that all media content is used in a manner that respects the dignity and rights of those involved.
12. Monitoring and Review
This policy will be reviewed annually or in response to changes in legislation or organizational needs. Opika Studios is committed to continuous improvement in safeguarding practices and will update policies and procedures as necessary.
